Warden's Guide
Overview of Responsibilities
If opening up (e.g. 9am service)

Open up around 45 minutes before service start. (If need keys see list on final page)

Switch on lights and additional heating if cold (button on wall behind foyer display screen)

Open right hand office door and pick up notice sheets and service book.

Pick up name lanyards from room at the back of the Narthex

Switch on lights in Narthex and Main Hall (see details)

Switch on Computer screen in entrance hall (see details)

Check water heater on in the kitchen (switch under the counter to left of door)
-
Check toilets have enough toilet paper (replacements in ladies loo cupboard)
Before service
-
Give Order of Service sheets to Sound desk, Projection, Music Group and Service Leader, and the scripture sheet to the Reader.

If the service involves communion, set up at per details and ‘recruit’ two people to help with handing out.

Check you have someone for sound desk, projection and doing the reading (if not see final page for possible replacements). If you need to switch on Sound or Lighting systems then see details.

Hand out leaflets to all who arrive and be welcoming 😊!
During service
-
Count number of participants, split by ages 16 or over and under 16s and add it to the Service book (in pencil, so the children's numbers can be added later) - If communion, the also count number of communicants as well.

Keep an eye on overall security (e.g. put child lock on door if required).
After service
-
Turn display in foyer off

Turn water heater off in the kitchen (switch under the counter to left of door)

Collect any service sheets and return to office (but not the one at the sound desk – this is used on Monday to write the CD’s / create Downloads).

If locking up
-
Toilets – check taps off and windows closed.

Check all fire exits are secure (give a push!) including bottom of balcony stairs, and windows are closed

Check prayer room outer door is locked and ideally inner door to main church (key box code is 730)

Lock right hand office door if you have the key
-
Turn all lights off.

Check place is empty and lock up. (Ideally, don’t do this alone - have someone else in the building with you.)

Communion Setup
​
• Put communion table front stage.
• Open communion cupboard in store room (key 5, green tag, in key safe, code 730). There is a key for the inner door which holds the silverware, inside the cupboard.
• Remove table cloth and put evenly on communion table.
• Check with Service leader whether they intend one or more sets of sacraments to be served at a time.
• E.g. a typical table setup for two sets would be:
a. Wooden service book stand
b. Large (A4) worship book on it
c. 2 large goblets with wine in
d. 1 small goblet with alcohol-free wine
e. 2 large plates with wafers on
f. 1 small plate with around 4 gluten free wafers on
g. One or more hand sanitiser bottles
h. 2 napkins for wiping the cup
i. Then cover each goblet with a hard cloth cover
j. Cover the plates with napkins
(If you run out of wine, can use Ribena if necessary)
Choose servers - if not already organized.

During service
• Count number of communicants as well.
• Direct people to communion, if required
• If wafers or wine run out, then help to refill.
After service
• Remove all items from communion table,
• Roll back up the communion tablecloth.
• Put used cloths into office for washing.
• Wash clean all goblets and salvors, then place everything back into communion cupboard and lock.
(Left over wine can be drunk or poured on Consecrated ground – which means outside the fire door in the grounds – or down the sink, with discretion)
Baptism setup

• Put table from outside the communion cupboard on the right of the stage.
• Open communion cupboard in store room (key 5, green tag, in key safe, code 730). There is a key for the inner door which holds the silverware, inside the cupboard.
• Remove table cloth and put evenly on communion table.

Setup table as per picture:

Include Towel for baby’s head.
-
Put table protection under white cloth (plastic sheet or another towel etc.)
-
Pour hot water into the silver bowl at a temperature such that it will be around body temperature at the time of the baptism (i.e. don't either burn or freeze the baby!)

Display screen in entrance hall

Switch on power on wall to computer and screen

Turn on computer (password STKTV) with a hard to see button on the top left of the computer case
-
Use the mouse to open Powerpoint ‘STK Notices’ on desktop and press F5 to put it in presentation mode.
(If screen not displaying, then stand on chair and press AV button on top of screen as required!)

On light switch in Narthex:
1. Press button ‘1-6’
2. Press Button ‘4’
